The Health Care Operations team is part of the Meeting & Events Department, within Business Operations. The Health Care Operations team is responsible for, and oversees all regional operational activities that occur in relation to transparency management processes and delivery of effective and efficient Health Care contracting and communications in relation to services provided during events, and to post event conclusion.Purpose of the job: Responsible for timely and accurate project administration relating to Health Care Professionals / Health Care Operations (HCP/HCO) engagements for event related activities.

Core Activities:• Coordinates the activities relating to HCP/HCO engagement for event related services, from initial invitation through to contract co-ordination, Naya transparency approval requests, co-ordination of contract signature, financial approvals and post-event invoicing and disclosure • Provides active data input to support the completion of the Event Consulting Agreement (“ECA”) Required Information sheet
• Prepares Fair Market Value calculation sheets for Business Unit review and acceptance
• Requests and reviews Consulting Agreements
• Manages ECA reviews and approvals via the Naya transparency approval and reporting tool
• Manages financial approvals and post event invoice payments • Responsible for the co-ordination of ECA signatures, communicating with both external and internal parties, in conjunction with Contracts Management team
• Post-event transparency reporting and disclosure in the Naya system

• Monitors, coordinates and reports on follow-up actions and planning status relating to HCP/HCO engagements
• Actively update event budgets and forecasts for events relating to HCP/HCO engagements
• Liaise and work closely with internal and external colleagues and contacts, including country organizations
• Maintain and build contacts with HCP’s & HCO’s

Requirements Healthcare Operations Associate

Professional qualification in a relevant subject;

• Knowledge of MS Office, and Excel
• At least 3 years of experience, preferably in an event environment or executive assistant type environment
• Experience in interaction with senior Health Care Professionals (HCPs)
• Project/process management experience is an advantage
• Organized and able to prioritize and understand work impact
• Able to work with strict deadlines
• Good interpersonal, communication, and networking skills
• Excellent English communication skills, both verbal and written
• Well organized and self-motivated
• Accuracy and an eye for detail
• Customer focused • High ethical standards coupled with the knowledge and ability to comply with all relevant ethical, regulatory, and legal standards
• Able to work under pressure with limited supervision
• Strong Project Management skills
